This guide will walk you through the process of adding staff to your TheraSaaS account and managing their permissions and settings.
1. Access the Staff Settings
Log in to TheraSaaS.
Go to Settings:
On the left-hand menu, click on Settings.
Under My Business, select My Staff.
2. View Existing Staff
In the My Staff section, you will see the current team members, including their:
Name.
Email.
Phone number (if available).
Account type (e.g., Admin, User).
You can also edit or remove staff from this page.
3. Add a New Staff Member
Click "Add Employee":
On the top-right corner, click the big blue button labeled Add Employee.
Fill Out the Employee Information:
Required Fields:
Name and Email (these are mandatory).
Optional Fields:
Upload a Logo or Photo for the employee.
Add a Phone Number if necessary.
Set a Password:
Enter a password for the new user.
You can reset or change the password later if needed.
4. Configure Staff Details
Calendar and Signature:
Add a calendar for the staff member.
Set up a signature for emails and messages they will send.
5. Define Permissions and Roles
User Permissions:
Customize which features the staff member has access to.
For example, an Intake Coordinator may only need access to messaging and client contact features, while features like Facebook Ads Reporting or Marketing can be turned off for security.
User Roles:
Assign them a role:
User: Recommended for new staff with limited access.
Admin: Provides full access to all features.
6. Configure Call and Voicemail Settings
Call Forwarding:
Connect a phone number and configure call forwarding to the TheraSaaS web or mobile app.
Voicemail Settings:
Set up a voicemail for missed calls.
7. Set Availability and Calendar Configuration
User Availability:
Add meeting locations and set the time zone.
Configure their available hours for scheduling purposes.
Calendar Configuration:
If integrated with Google Calendar, link it to the staff member's account.
8. Save the Information
After configuring the necessary fields, click Save to add the new staff member.
You can always go back to My Staff, click Edit for any staff member, and update their permissions or details as needed.
9. Password Management
For existing staff:
Use the Forgot Password option to reset their password if required.
